Abstract
Introduction General practice is a key component of the Australian health care system. Outcome Health’s POpulation Level Analysis and Reporting (POLAR) data space system uses de-identified electronic health records to enable data analysis at the general practice level in Australia. Previous studies using routinely collected health data for research purposes have not consistently reported the codes and algorithms used to describe the population, exposures or interventions, and outcomes in sufficient detail to allow replication. The aim of this study is to describe the methods used to classify, identify and merge eligible records from the POLAR data space system into a customised database so as to examine patterns of care for people presenting to general practice in Victoria, Australia. In doing so, this study will provide a framework for other researchers using routinely collected health data for research purposes. Methods and analysis This is a retrospective, observational cohort study. Patient-related data will be obtained through electronic health records from general practices across three primary health networks in South Eastern Victoria. Study participants will include people diagnosed with low back (aged 18 years and over), or shoulder, knee or neck conditions (aged 45 years and over) from 2014 to 2018 who were receiving care from a general practitioner (GP). Eligible records were identified deductively using coding conducted by Outcome Health and where necessary we coded data inductively. Data quality checks will be conducted and data files with eligible records will be merged to select the study cohort and create customised databases for analyses. The numbers, timing and characteristics of patients, GPs, consultations, prescriptions for pain relief, referrals to other health providers and requests for imaging tests will be examined throughout the study duration.
